Terms & Conditions

These Terms & Conditions ("Terms") govern the submission, registration, participation, attendance, sponsorship, exhibition, publication, and all other services relating to ICICT 2027 – The 12th International Conference on Information Communication and Technology for Intelligent Systems ("ICICT 2027" or the "Conference").

ICICT 2027 is organized under the GR Conferences brand portfolio of GRS Global and is exclusively owned, managed, administered, and operated by G R Scholastic LLP, a Limited Liability Partnership duly incorporated under the Limited Liability Partnership Act, 2008 (India).

These Terms constitute a legally binding agreement between G R Scholastic LLP ("Organizer", "we", "us", or "our") and every individual or legal entity that submits a paper, registers for the Conference, participates in any Conference activity, purchases Conference services, sponsors or exhibits at the Conference, serves on any committee, or otherwise engages with the Conference ("Participant", "Author", "Delegate", "Speaker", "Reviewer", "Sponsor", "Exhibitor", "Institution", "you", or "your").

By submitting a paper, completing a registration, making a payment, participating in the Conference, accessing the Conference website, or using any Conference-related service, you acknowledge that you have read, understood, and agree to be legally bound by these Terms & Conditions together with all other policies published by the Organizer, including but not limited to the Legal Information, Privacy Policy, Registration Policy, Refund Policy, Publication Policy, Code of Conduct, and any additional policies or guidelines issued by the Organizer from time to time.

If you do not agree with these Terms & Conditions, you must not submit any paper, complete a registration, make any payment, or participate in any Conference activity.

These Terms apply to every Conference organized under the GR Conferences portfolio unless expressly stated otherwise in writing by G R Scholastic LLP.

No terms, conditions, purchase orders, institutional policies, or other documents issued by a Participant shall modify or supersede these Terms unless expressly accepted in writing by an authorized representative of G R Scholastic LLP.

The Organizer reserves the right to amend, revise, update, or replace these Terms & Conditions from time to time where reasonably necessary for legal, operational, regulatory, academic, or administrative purposes. Any revised Terms shall become effective upon publication on the official Conference website unless otherwise specified. Continued participation in the Conference after such publication constitutes acceptance of the revised Terms.

By registering for, sponsoring, exhibiting at, speaking at, or otherwise participating in ICICT 2027, you acknowledge and agree that G R Scholastic LLP may publicly identify your participation or professional association with the Conference for legitimate academic, promotional, informational, or administrative purposes. Such announcements may include, without limitation, publication on the official Conference website, social media platforms, newsletters, press releases, promotional materials, conference proceedings, and other official communication channels.

Any such announcement shall be factual, professional, and made in good faith. The Organizer shall not publish any information that is knowingly false, defamatory, misleading, or otherwise detrimental to your legitimate business or professional reputation.

All applications for paper submission, abstract submission, registration, sponsorship, exhibition, committee membership, publication, delegate participation, purchase of conference materials, and any other Conference-related services are subject exclusively to these Terms & Conditions and all other applicable Conference policies published by the Organizer.

These Terms & Conditions shall prevail over any inconsistent terms, conditions, purchase orders, institutional policies, or other documents submitted by a Participant unless expressly accepted in writing by an authorized representative of G R Scholastic LLP.

Submission of a registration, payment, manuscript, or any request for Conference services constitutes unconditional acceptance of these Terms & Conditions.

G R Scholastic LLP reserves the right, at its sole discretion and where reasonably necessary, to modify the Conference venue, dates, programme schedule, session timings, speakers, committee composition, publication arrangements, conference format (physical, virtual, or hybrid), or any other operational aspect of the Conference due to operational requirements, legal or regulatory obligations, force majeure events, public health concerns, travel restrictions, venue availability, security considerations, insufficient participation, publisher requirements, or other circumstances beyond the reasonable control of the Organizer.

Such modifications shall not constitute a breach of any contractual obligation and shall not entitle Participants to claim compensation for any indirect or consequential losses, including but not limited to travel expenses, accommodation costs, visa expenses, loss of opportunity, business interruption, or any other incidental or consequential damages, except where otherwise required under applicable law or expressly provided under the applicable Refund Policy.

Where reasonably necessary, the Organizer may postpone, reschedule, relocate, suspend, convert to a virtual or hybrid format, or cancel the Conference in whole or in part.

The Organizer shall make reasonable efforts to notify Participants of any material changes through the official Conference website, registered email addresses, and other official communication channels.

Participants are responsible for periodically reviewing the official Conference website and their registered email accounts for announcements, updates, revised schedules, and other official communications relating to the Conference.

G R Scholastic LLP is committed to providing a safe, inclusive, professional, respectful, and welcoming environment for all participants attending or engaging with ICICT 2027, whether in person, virtually, or through any Conference-related platform or activity.

Every participant, including but not limited to authors, delegates, speakers, session chairs, reviewers, committee members, volunteers, exhibitors, sponsors, service providers, venue personnel, media representatives, guests, and Organizer representatives, is expected to conduct themselves in a professional, courteous, ethical, and respectful manner at all times.

All participants shall treat others with dignity, fairness, respect, and consideration, irrespective of differences in academic opinion, professional background, nationality, culture, language, or personal characteristics. Participants are expected to contribute to an environment that promotes collaboration, scientific integrity, and constructive academic dialogue.

Registration, submission of a paper, sponsorship, exhibition, committee appointment, attendance, or participation in any Conference activity constitutes acceptance of and agreement to comply with the Conference Code of Conduct and these Terms & Conditions.

The Organizer maintains a zero-tolerance policy towards unlawful discrimination, harassment, intimidation, bullying, retaliation, abusive conduct, or disruptive behaviour in any form.

Prohibited conduct includes, but is not limited to:

• verbal abuse, threats, or intimidation;
• unwanted physical contact or inappropriate touching;
• sexual harassment or unwelcome sexual advances;
• stalking or persistent unwanted communication;
• bullying, humiliation, ridicule, or public shaming;
• discriminatory, offensive, abusive, or insulting language;
• deliberate disruption of Conference sessions or activities;
• aggressive, violent, or threatening behaviour;
• unauthorized recording where prohibited by the Organizer;
• damage to Conference property or venue facilities;
• conduct that compromises the safety, security, or wellbeing of others; and
• any behaviour that materially interferes with the orderly conduct of the Conference.

The Organizer is committed to fostering an environment free from unlawful discrimination and harassment.

Discrimination or harassment based on any protected characteristic under applicable law—including, but not limited to, race, colour, ethnicity, national origin, citizenship, religion, disability, age, sex, gender, gender identity, gender expression, sexual orientation, marital status, pregnancy, or any other legally protected characteristic—will not be tolerated.

Academic disagreement, constructive criticism, and peer-review comments made professionally and in good faith do not, by themselves, constitute harassment or misconduct.

Participants who experience or witness conduct inconsistent with this Code of Conduct are encouraged to report the matter promptly to the Conference Secretariat, designated Conference representatives, or venue security personnel, as appropriate.

The Organizer will make reasonable efforts to review reported concerns promptly, fairly, impartially, and confidentially to the extent reasonably practicable and permitted by applicable law.

Where reasonably necessary, the Organizer may implement appropriate interim measures to protect the safety and wellbeing of participants during the Conference, including assistance from venue personnel or local emergency services where circumstances require.

Where the Organizer reasonably determines that a participant has violated this Code of Conduct or these Terms & Conditions, G R Scholastic LLP reserves the right to take any action it considers appropriate, including but not limited to:

• issuing a verbal or written warning
• requiring the participant to cease the offending conduct;
• removing the participant from a session or Conference activity
• revoking Conference registration without refund, where permitted under applicable law
• cancelling speaking, committee, sponsorship, or exhibition privileges
• refusing future participation in conferences organized by GR Conferences
• referring the matter to venue management or relevant law enforcement authorities where appropriate

The Organizer's decisions regarding enforcement of this Code of Conduct shall be final, subject to any rights available under applicable law.

The Organizer may, at its sole discretion, make available selected official photographs, videos, promotional materials, and other approved media relating to ICICT 2027 upon written request, subject to availability, applicable copyright restrictions, and the Organizer's media usage policies. The Organizer reserves the right to approve or decline any such request.

All photographs, audio recordings, video recordings, livestreams, presentations, graphics, digital content, and other media created, commissioned, or officially distributed by the Organizer are the intellectual property of G R Scholastic LLP or its respective licensors unless otherwise expressly stated. Except with the Organizer's prior written consent or where otherwise permitted by applicable law, participants shall not reproduce, modify, distribute, publish, broadcast, sell, license, commercially exploit, or use any official Conference media for advertising, marketing, promotional, commercial, or public distribution purposes. Any permitted use of official Conference media must accurately represent the Conference and shall not imply sponsorship, endorsement, partnership, or affiliation beyond that expressly authorized by the Organizer.

By registering for or attending ICICT 2027, whether physically, virtually, or in a hybrid format, you acknowledge and agree that photographs, video recordings, audio recordings, livestreams, interviews, and other multimedia content may be captured during Conference activities by or on behalf of the Organizer.

Subject to applicable law, you grant the Organizer a non-exclusive, worldwide, royalty-free right to use, reproduce, publish, display, distribute, archive, and communicate such recordings for legitimate Conference-related purposes, including:

• Conference proceedings and archives;
• Official Conference websites;
• Newsletters and publications;
• Academic reports;
• Promotional and marketing materials;
• Social media communications;
• Press releases;
• Educational and training materials; and
• Future Conference promotions.

Such use may be made in both digital and printed formats without additional compensation to participants.

Participants who have legitimate privacy, security, or legal concerns regarding photography or recording should notify the Organizer in writing before the commencement of the Conference. While the Organizer will make reasonable efforts to accommodate such requests where practicable, it cannot guarantee that complete exclusion from incidental photography or recordings in public Conference areas will always be possible.

The Organizer recognizes that participants may capture photographs, videos, or audio recordings using personal mobile phones, cameras, or other recording devices during the Conference, where permitted.

The Organizer does not control, monitor, or assume responsibility for images, recordings, or other multimedia content independently created, published, or shared by participants, media representatives, or other third parties.

Accordingly, G R Scholastic LLP disclaims responsibility, to the maximum extent permitted by applicable law, for the capture, publication, dissemination, or use of a participant's image, voice, likeness, or personal information by other attendees or third parties during or after the Conference.

Participants are expected to respect the privacy, intellectual property rights, confidentiality obligations, and recording restrictions applicable to Conference sessions and fellow participants. The Organizer reserves the right to prohibit or restrict photography or recording during specific sessions where confidentiality, copyright, publisher requirements, or speaker preferences so require.

Participants who do not wish to be photographed, filmed, or otherwise recorded during the Conference should notify the Organizer in writing by email prior to attending the Conference.

Upon receiving such a request, the Organizer will make reasonable efforts to respect the participant's preferences where practicable and consistent with the operational requirements of the Conference. However, the Organizer cannot guarantee complete exclusion from incidental photography, video recordings, livestreams, or other multimedia captured in public areas, group photographs, networking sessions, or other Conference activities.

The Organizer is committed to protecting the privacy and confidentiality of personal information entrusted to it by participants.

Personal information collected during paper submission, registration, payment processing, peer review, publication, sponsorship, exhibition, or participation in Conference activities will be processed solely for legitimate Conference administration, publication, academic, operational, legal, and regulatory purposes in accordance with the Organizer's Privacy Policy and applicable data protection laws.

The information provided by participants may be retained for record-keeping, audit, publication, certification, legal compliance, and future Conference administration for such period as the Organizer reasonably considers necessary or as required by applicable law.

The Organizer will implement reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, misuse, or destruction.

By providing your email address or other contact details during registration or submission, you consent to receive electronic communications relating to:

• Conference registration and participation;
• Paper submission and peer review;
• Publication updates;
• Payment confirmations;
• Certificates;
• Conference announcements;
• Future editions of the Conference;
• Other academic events organized under the GR Conferences portfolio; and
• Related academic, educational, or professional opportunities offered by the Organizer.

Participants may withdraw their consent to receive promotional or marketing communications at any time by following the unsubscribe instructions contained in such communications or by submitting a written request to the Organizer.

Withdrawal of marketing consent shall not affect the Organizer's ability to send essential administrative, contractual, legal, financial, publication, or Conference-related communications.

The Organizer may disclose personal information to trusted third-party service providers where reasonably necessary for the organization and administration of the Conference, including but not limited to:

• Manuscript submission and peer review platforms;
• Payment service providers;
• Publication partners;
• Conference management systems;
• Certificate generation services;
• Technical support providers;
• Event management vendors;
• Sponsors or co-sponsors, where necessary for agreed Conference-related activities and consistent with applicable law; and
• Governmental or regulatory authorities where disclosure is required by law.

Except as described above, or where required by applicable law, court order, or regulatory obligation, the Organizer will not disclose personal information to unrelated third parties without the participant's consent.

The Conference follows an independent academic peer-review process intended to evaluate the scientific quality, originality, relevance, and suitability of submitted manuscripts.

Reviewer comments, recommendations, and editorial observations represent the independent academic opinions and professional judgment of the respective reviewers based upon their expertise at the time of review.

Participants acknowledge that constructive criticism, requests for revision, recommendations for rejection, or other adverse review comments form an essential part of scholarly peer review and shall not be regarded as defamatory, discriminatory, offensive, or intended to discourage or disrespect the author or the submitted research.

Authors are encouraged to consider reviewer feedback objectively and professionally as part of the academic publication process.

The identity of reviewers, reviewer reports, editorial deliberations, and other confidential peer-review information shall remain confidential except where disclosure is required by applicable law, publisher policy, or the Organizer's publication procedures.

ICICT 2027 follows an independent, impartial, and confidential peer-review process designed to assess the scientific quality, originality, technical merit, relevance, and suitability of submitted manuscripts.

Reviewer comments, recommendations, and editorial observations are provided solely for academic evaluation and quality improvement. Such comments represent the independent professional opinions and academic judgment of the respective reviewers based on their expertise and the information available at the time of review.

Participants acknowledge that reviewer feedback, including requests for revision, recommendations for rejection, or critical observations, is intended solely to improve the quality and integrity of scholarly research and shall not be interpreted as personal criticism, disrespect, discrimination, harassment, or defamation of the author or the submitted work.

The final editorial and publication decisions shall be made in accordance with the Conference's publication policies and, where applicable, the requirements of the respective publication partner.

The integrity of the peer-review process depends upon the confidentiality of reviewer identities and editorial deliberations.

Accordingly, the identities of reviewers, reviewer reports, editorial discussions, internal evaluation records, conflict-of-interest disclosures, and other confidential peer-review information shall remain strictly confidential and shall not be disclosed to authors, institutions, sponsors, participants, or any third party except:

• Where disclosure is expressly required by applicable law;
• Where disclosure is required by a competent court or governmental authority;
• Where disclosure is required under the policies of the applicable publication partner; or
• Where the Organizer determines that disclosure is necessary to investigate academic misconduct, ethical violations, or legal compliance.

Participants acknowledge that they shall not request, attempt to obtain, or publicly disclose confidential reviewer information through any means.

Acceptance of a paper for presentation at ICICT 2027 does not constitute or guarantee publication in any specific journal, book series, conference proceedings, digital library, publisher, indexing database, or abstracting service.

Publication of accepted papers remains subject to:

• Successful completion of the peer-review and editorial process;
• Compliance with publication ethics and quality standards;
• Timely submission of all required documents;
• Copyright and licensing requirements;
• Registration requirements;
• Technical formatting requirements;
• Plagiarism and research integrity verification; and
• The independent editorial policies and acceptance criteria of the respective publisher or publication partner.

Likewise, indexing, abstracting, citation tracking, or inclusion in databases such as Scopus, Web of Science, EI Compendex, Google Scholar, DBLP, Crossref, or any other indexing service is determined solely by the respective indexing organizations in accordance with their independent evaluation criteria.

The Organizer does not guarantee publication, indexing, impact factors, citation metrics, database inclusion, or the continued availability of any indexing service.

Publication schedules are dependent upon numerous academic, editorial, production, publisher, and indexing processes.

Accordingly, the Organizer does not guarantee any fixed publication timeline.

Estimated publication timelines communicated by the Organizer are indicative only and may vary depending upon editorial review, publisher workflows, production schedules, author revisions, quality assurance procedures, technical requirements, indexing processes, force majeure events, or other operational circumstances beyond the reasonable control of the Organizer.

Participants acknowledge that publication may require several months following the Conference and that delays shall not constitute a breach of these Terms & Conditions.

Participants requiring an entry visa are solely responsible for complying with the immigration, visa, customs, and travel requirements applicable to the country in which the Conference is conducted.

Participants are strongly encouraged to begin the visa application process sufficiently in advance and to consult the appropriate embassy, high commission, or consulate regarding applicable visa requirements and processing times.

Upon written request and subject to verification of registration, payment, and compliance with Conference requirements, the Organizer may issue an official Conference Invitation Letter solely for the purpose of supporting a participant's visa application.

The issuance of an Invitation Letter does not constitute a guarantee that a visa will be granted, nor does it create any obligation or representation by the Organizer regarding the outcome of any immigration or visa application.

Invitation Letters shall be issued only to participants who have:

• Completed the official registration process;
• Paid the applicable registration fees in full;
• Provided the information reasonably required by the Organizer; and
• Complied with the applicable Conference policies.

Invitation Letters are issued exclusively for the registered participant and shall not be issued for accompanying family members, guests, companions, or unregistered individuals.

The Organizer shall not be responsible for visa refusals, processing delays, travel restrictions, immigration decisions, or any costs, losses, or damages arising from a participant's inability to obtain the required travel documentation.

Unless expressly provided under the applicable Refund Policy, visa refusal, delayed visa processing, or any immigration-related issue shall not entitle a participant to a refund, compensation, or reimbursement of Conference fees or any associated expenses.

a. Participant Eligibility

Registration for ICICT 2027 is intended for individuals who are eighteen (18) years of age or older at the time of registration.

By registering for the Conference, participants represent and warrant that they satisfy the applicable eligibility requirements and possess the legal capacity to enter into a binding agreement with the Organizer.

Where participation by a minor is exceptionally permitted through a specific written approval issued by the Organizer, such participation shall be subject to the prior written consent of the participant's parent or legal guardian and any additional conditions imposed by the Organizer.

b. Limitation of Liability

Participants attend and participate in the Conference voluntarily and at their own discretion.

To the fullest extent permitted by applicable law, G R Scholastic LLP, its partners, employees, officers, committee members, volunteers, representatives, contractors, service providers, and affiliated organizations shall not be liable for any indirect, incidental, consequential, exemplary, punitive, or special damages, or for any loss, damage, expense, delay, inconvenience, personal injury, illness, disability, property loss, theft, travel disruption, accommodation costs, business interruption, loss of profits, loss of data, reputational loss, or other claims arising before, during, or after the Conference.

Nothing in these Terms & Conditions shall exclude or limit liability for death or personal injury caused directly by the proven negligence of the Organizer or for any liability that cannot lawfully be excluded or limited under applicable law.

Participants are solely responsible for their personal belongings, travel arrangements, accommodation, insurance, health requirements, and compliance with applicable laws throughout their participation in the Conference.

To facilitate networking, academic collaboration, and effective Conference administration, the Organizer may publish or share certain professional information relating to confirmed speakers, keynote speakers, session chairs, panelists, and invited experts.

Such information may include, where appropriate:

• Full name;
• Professional title;
• Institutional affiliation;
• Organization;
• Country;
• Biography;
• Photograph;
• Research interests;
• Professional profile;
• Institutional email address or other approved contact information; and
• Links to institutional or professional webpages.

The Organizer will use reasonable efforts to ensure that such information is accurate and relevant to the Conference and is processed in accordance with the applicable Privacy Policy.

The views, opinions, conclusions, recommendations, research findings, and presentations expressed by speakers, authors, panelists, moderators, session chairs, exhibitors, sponsors, or other participants are solely those of the respective individuals and do not necessarily reflect the views, policies, opinions, endorsements, or positions of G R Scholastic LLP, GR Conferences, GRS Global, publication partners, technical collaborators, sponsors, host institutions, or the Conference Organizing Committee.

The Organizer does not endorse, verify, warrant, or assume responsibility for the accuracy, completeness, reliability, legality, or usefulness of any information, advice, opinions, demonstrations, or recommendations presented during the Conference.

Participants remain solely responsible for evaluating and relying upon any information or advice received during Conference activities.

The official Conference website and its contents are protected by applicable intellectual property and copyright laws.

Participants and visitors shall not, without the prior written consent of the Organizer:

• Create frames, inline links, mirror sites, or embedded displays that alter the appearance, branding, functionality, or presentation of any Conference website;
• Reproduce, copy, modify, distribute, scrape, extract, or commercially exploit any website content except as expressly permitted;
• Interfere with the operation, security, or integrity of the Conference website; or
• Use automated tools or technologies to access or collect website content in a manner inconsistent with applicable law or the Organizer's policies.

The Organizer reserves all rights relating to the Conference websites, digital platforms, branding, and online services.

ICICT 2027 is organized and managed by G R Scholastic LLP, a Limited Liability Partnership incorporated under the Limited Liability Partnership Act, 2008 (India), acting through its GR Conferences brand. The registered office and contact details of the Organizer are available on the official Conference website and in the Privacy Policy.

The Conference is intended to be held at America Square Conference Centre, 17 Crosswall, London EC3N 2LB, England, United Kingdom, or at such other venue as may be officially announced by the Organizer. Participants attending the Conference in person shall comply with all applicable venue rules, health and safety requirements, security procedures, and the applicable laws and regulations of the United Kingdom while present at the Conference venue.

The designation of the Conference venue is solely for the purpose of identifying the physical location of the Conference and shall not be construed as establishing a branch office, subsidiary, permanent establishment, place of business, or commercial presence of G R Scholastic LLP or GR Conferences in the United Kingdom. The venue owner and operator act solely as providers of conference facilities and are not responsible for the organization, administration, publications, registrations, financial transactions, or any other Conference- related activities. The use of the venue does not imply any sponsorship, endorsement, approval, or affiliation by the venue owner or operator.

ICICT 2027 is an international academic conference conducted solely to facilitate scholarly communication, research dissemination, professional networking, and the exchange of scientific knowledge. All registrations, paper submissions, publication services, digital services, financial transactions, contractual obligations, and Conference administration are provided and administered exclusively by G R Scholastic LLP from India.

These Terms & Conditions, together with all Conference-related legal, contractual, financial, and administrative matters, shall be governed by the laws of the Republic of India. Any dispute arising out of or in connection with ICICT 2027 shall be subject to the exclusive jurisdiction of the competent courts located in Ahmedabad, Gujarat, India.

The Organizer reserves the right to change the Conference venue, city, country, dates, publication arrangements, or Conference format (physical, virtual, or hybrid) where reasonably necessary due to operational requirements, legal or regulatory obligations, force majeure events, public health considerations, security concerns, travel restrictions, venue availability, or other circumstances beyond its reasonable control. Any such changes shall not affect the validity of registrations, accepted papers, contractual obligations, or the applicability of these Terms & Conditions unless otherwise expressly communicated by the Organizer.

G R Scholastic LLP reserves the right to amend, revise, update, supplement, or remove any provision of these Terms & Conditions at any time where reasonably necessary for legal, regulatory, operational, academic, or administrative purposes.

Revised Terms & Conditions shall become effective upon publication on the official Conference website unless otherwise specified. Continued submission, registration, participation, or use of Conference services following such publication shall constitute acceptance of the revised Terms.

If any provision of these Terms & Conditions is determined by a court or competent authority to be invalid, unlawful, or unenforceable, the remaining provisions shall remain in full force and effect and shall continue to govern the rights and obligations of all participants, authors, speakers, sponsors, exhibitors, reviewers, committee members, and other Conference stakeholders.
